What Is a Balloon Stamp Tool? Balloon Stamps in PDF Markup Tools

The most common question I get from junior quality engineers learning to balloon drawings is not how to decide what to balloon. It is not how to count characteristics. It is the basic mechanic: how do I draw the numbered circle in Bluebeam? The answer is balloon stamp tools, and which tool you pick changes how fast you can produce a ballooned drawing.

This guide covers what a balloon stamp tool is, how balloon stamps work in the major PDF markup tools (Bluebeam Revu, Adobe Acrobat, PDF-XChange Editor), how the auto-numbering features differ, and why the stamping mechanic is the slowest part of manual ballooning. What Is a Balloon Stamp Tool PDF?

A balloon stamp tool is a feature in PDF markup software that places a numbered circle (the "balloon") on a drawing with a single click. The balloon is typically:

  • A circle (or square / oval / hexagon depending on convention)
  • 4 to 8mm diameter at drawing scale
  • Filled white or transparent
  • Outlined in black or red
  • Containing a sequential number that increments automatically

The numbered circle is placed adjacent to the dimension or feature being called out. A leader line connects the balloon to the feature when the balloon cannot be placed directly adjacent. The general placement rules are in Ballooned Drawing Requirements for AS9102 FAI.

Without a balloon stamp tool, ballooning a drawing requires manually drawing each circle, typing each number, and adjusting placement. With a balloon stamp tool, each balloon is one click. On a 100-characteristic drawing, this is the difference between 4 hours and 1.5 hours of stamping work.

Bluebeam Revu Balloon Stamps

Bluebeam Revu is the dominant PDF tool in aerospace and construction. Its balloon stamp feature is built into the Tool Chest under "Drawing Markups."

Default balloon types in Bluebeam:

  • Circle balloon with auto-incrementing number
  • Square balloon with auto-incrementing number
  • Hexagon balloon (less common but supported)
  • Custom callout shapes

Auto-numbering: Bluebeam tracks the next number automatically. The first click stamps "1," the second stamps "2," and so on. You can reset the counter, jump to a specific number, or assign prefixes (like "K1, K2, K3" for Key Characteristics).

Sequence presets: experienced QEs set up balloon stamp presets with their preferred size, color, and font. A right-click context menu places the next balloon. Once set up, ballooning becomes essentially one-click-per-feature.

Limitations: Bluebeam stamps where you click. It does not know what is on the drawing. If you click in empty space, it stamps a balloon in empty space. If you mis-click on the wrong feature, you get a balloon on the wrong feature. The human is fully responsible for placement intelligence.

Adobe Acrobat Balloon Stamps

Adobe Acrobat does not have a dedicated balloon stamp feature. You build it from the Stamps tool by creating custom stamps that include a numbered circle.

The setup: create a Custom Stamp with a numbered template. Acrobat does not auto-increment, so each stamp must be manually edited to update the number, OR you create 100 separate stamps (Balloon 1, Balloon 2, ..., Balloon 100) and select them sequentially.

The reality: Acrobat is workable for occasional ballooning but is the slowest of the major PDF tools for production ballooning work. Most aerospace QEs migrate to Bluebeam or PDF-XChange for ballooning.

PDF-XChange Editor Balloon Stamps

PDF-XChange Editor (PDF-XChange) is a faster alternative to Adobe Acrobat with better stamp tooling.

Balloon stamps: PDF-XChange supports custom stamps and includes a numbered-stamp library. Auto-numbering is supported through the "Stamps Palette" with a counter.

Ballooning workflow: similar to Bluebeam — set up your balloon style once, then click-stamp through the drawing.

Cost: PDF-XChange is cheaper than Bluebeam ($89 one-time vs $349 perpetual or $99/year), making it popular at smaller shops. Functionally for ballooning work it is comparable.

Free Alternatives

LibreOffice Draw: open and annotate PDFs with shapes. No auto-incrementing balloon feature. Workable for low-volume ballooning, painful for production work.

Preview (macOS): native macOS PDF tool. Can add shapes and text but no balloon stamp feature, no auto-numbering. Not recommended for ballooning.

Foxit Reader: free version supports basic markups but limited custom stamp features. Foxit's paid PDF Editor adds stamp functionality.

Online tools (Smallpdf, etc.): not designed for ballooning. Too slow for any production work.

The free path is feasible for occasional ballooning. For any QE doing more than a few drawings per month, the time savings of Bluebeam or PDF-XChange pay for the license in the first month.

Balloon Size and Color Conventions

Aerospace conventions vary by OEM and by company:

Boeing specifies certain conventions in supplier quality documentation. Airbus specifies different ones. Generic AS9102 leaves the choice to the supplier as long as the result is legible. Why Stamping Is the Slow Part

When a senior QE reports that ballooning a 100-characteristic drawing took 4 hours, where did the time actually go?

The actual stamping is 8 minutes. The placement adjustment is 33 minutes. The Form 3 row creation is the longest single activity at 100 minutes. The reading and cross-checking together take another 75 minutes.

So balloon stamps are not the bottleneck. The bottleneck is reading the drawing, deciding what to balloon, looking up untoleranced tolerances, and typing Form 3 rows. This is why pure-stamp tools (even fast ones like Bluebeam) cap your productivity at the manual reading speed of the drawing.
